2025 Execs

The Science Students Society is now looking to recruit its new executive team for 2025! Our application form can be found below, with position descriptions for each role further down. By filling out the form, this will be considered your formal nomination to join the 2025 executive team. Please read the details of the open positions carefully before putting your name down for nomination.

Voting will take place at our 2024 Annual General Meeting, which will take place Wednesday 23rd October 5pm at Parnell-234.

For your nomination to remain valid after submitting, you must either: 1, attend our AGM (in person or on Zoom) and give a short 1-2 minute speech about why members should vote for you; or 2, provide a candidacy statement before our AGM is held which will be read out on the day.

Position Descriptions

President

As the captain of the SS SSS, the President plays a pivotal role by overseeing all activities and ensuring all members of the Executive Committee are meeting the requirements of their elected roles. Responsibilities include:

  • Coordinating, motivating, and creating community amongst the Executive Committee;
  • Chairing and contributing to Executive Committee meetings;
  • Representing SSS to other clubs, the university, and the wider community;
  • Assisting with coordination of social, industry, and academic events;
  • Assuming full liability for actions taken by the Executive Committee.

Secretary

The Secretary is essential to SSS’s administration, ensuring clear communication amongst the Executive Committee, with members and other parties. Responsibilities include:

  • Scheduling meetings of the Executive Meeting and taking detailed minutes;
  • Keeping track of various deadlines within the SSS Executive Committee;
  • Writing and distributing the weekly newsletter to SSS members;
  • Maintaining the membership list and ensuring it is up to date;
  • Assisting the President in administrative tasks.

Treasurer

The Treasurer is in charge of SSS’s finances, ensuring the bank account, budgets, and financial records are all kept up to date. Responsibilities include:

  • Managing the SSS bank account;
  • Creating invoices and distributing to external parties for due payment;
  • Paying invoices for services delivered by external parties;
  • Reimbursing individuals for payments made for events;
  • Tracking payments, collating, and presenting in our annual financial audit.

VP Sponsorships

Our VP Sponsorships is the first point of contact for our sponsors, and has a key role in attracting and retaining sponsors. Responsibilities include:

  • Developing the sponsorship prospectus and delivering to potential sponsors;
  • Corresponding with sponsors and potential sponsors;
  • Maintaining relations with sponsors and updating them on SSS’s accomplishments;
  • Expanding SSS’s industry network;
  • Working with the President and Treasurer to incorporate sponsorship deals into the club’s budget.

VP Careers

The VP Careers coordinates SSS’s academic and industry events to give members a chance to network, identify career opportunities, and enhance their employability. Responsibilities include:

  • Brainstorming, designing, planning, and running academic and industry events;
  • Coordinating and planning our biannual Science Careers Fair;
  • Communicating with industry representatives and Faculty of Science staff;
  • Networking with other clubs and finding opportunities to collaborate;
  • Contributing to Executive Committee meetings and other SSS events.

VP Socials

The VP Socials is responsible for our social events which give members a chance to unwind, meet new people and develop new relationships. Responsibilities include:

  • Coordinating events including our trivia nights, pub crawls, and more;
  • Budgeting and ensuring they fit within SSS’s overall financial plans;
  • Liaising with external parties to organise bookings for events;
  • Networking with other clubs and finding opportunities to collaborate;
  • Contributing to Executive Committee meetings and other SSS events.

VP Marketing

Our VP Marketing manages our social media pages to ensure up to date, accurate, engaging content is delivered to our members. Responsibilities include:

  • Keeping SSS’s social media accounts up to date with relevant content;
  • Designing eye catching graphics for our events;
  • Creating and maintaining a consistent brand identity;
  • Developing a marketing strategy in line with the events calendar;
  • Keeping track of page analytics to maximise engagement.

VP Engagement

Our VP Engagement supports our other executives by expanding our presence in the wider community through our BBQs, merchandise, and managing SSS’s involvement in sporting competitions. Responsibilities include:

  • Leading our fortnightly BBQs;
  • Processing orders for merchandise;
  • Organising the SSS social sports teams and involvement in other sporting competitions;
  • Assisting with logistical aspects of social, careers, and other events;
  • Contributing to Executive Committee meetings and other SSS events.

Postgraduate Officer

Our Postgraduate Officer is a voice for UQ’s postgraduate science community, ensuring we have a diverse background of students. Responsibilities include:

  • Coordinating events focused towards UQ’s postgraduate community;
  • Networking with other clubs and finding opportunities to collaborate;
  • Assisting with logistical aspects of social, careers, and other events;
  • Contributing to Executive Committee meetings and other SSS events.

General Executive

General Executives help keep SSS running by assisting our other executives in their responsibilities, whether through assisting with events or contributing ideas. Responsibilities include:

  • Attending Market Day and recruiting new members;
  • Postering around campus to promote upcoming events;
  • Suggesting ideas for events;
  • Assisting with logistical aspects of social, careers, and other events;
  • Contributing to Executive Committee meetings and other SSS events.
